Current evidence shows that all thermal paper is quite unstable and cannot be considered permanent. This is for more modern papers in which, even with the best storage and handling conditions, it can be expected to show a significant decline in just 5 years, especially. The essays from the 1950s and 1960s are not unstable because of this, but can still be considered to have limited persistence.
Thermal paper is not suitable for permanent or long-term value recording. In order to avoid such loss of recorded data, copies of documents on thermal paper must be made on permanent or archived copy paper. Archive copies of these photocopies should be kept. After the copy has been checked for completeness and readability, the thermal paper copy may be destroyed as a normal administrative practice.
If for some reason, the original thermal paper needs to be kept, the copy should be used as a backup to prevent the original from becoming illegible. The file should be stored under environmental conditions, that is, no more than 20°C, or 50% relative humidity. Extremes of temperature and humidity will quickly deteriorate the image. Avoid prolonged exposure to light, as this can also speed up the deterioration of the image. In order to avoid the possible danger of affecting the heat copying of other files in adjacent storage, the hot copy should be submitted separately for other file records.
  1. Recording of short-term values
Because the forward-looking lifespan of modern thermal paper images is so short, using modern thermal paper, even if it is concerned with only short-term value recording. Therefore, if a hot copy that lasts for more than five years is necessary, or whether it will be processed a lot, consider whether it should be given to a production copy for reference and preservation. If this is not possible, the papers will require special care if they reach the end. This should include storing them away from extremes of temperature and humidity, avoiding prolonged exposure to light, and storing them separately from other documents.
  2. Suggestions to the recipient of the fax document
The recipient of the fax document needs to be reminded of the possible loss of the copy of the information by the thermal fax. Adding a warning-similar to the example below-can help with the transmission form used for the header fax message.
